Helaina is looking for its first Accounts Payable Specialist. The person will be responsible for the full accounts payable processing, vendor management, account analyses, reconciliation of various G/L accounts, and reporting to the Management Team. The candidate must have knowledge of and demonstrated ability to process vendor payable transactions, follow defined processes and adhere to internal controls. The candidate will exhibit the highest professional standards and ethical principles. strong work ethic, capacity to get things done independently, and consistent performance with a sense of urgency and commitment.
What You’ll Do
- Account payable processes: communication with vendors and employees, receiving and uploading invoices, accruing bills in the correct period, code bills to the appropriate accounts, coordinating approvals, administering payment runs, and vendor database maintenance.
- In charge of payroll processing
- Ensure new vendor setup requirements are met: signed contracts, tax documentation, bank information, etc.
- Own the expenses reconciliation process: post transactions to quickbooks and reconcile to statements
- Propose and implement workflows to improve accounting processes
- Administrative filling and correspondence
- Bank reconciliation
- Track of actual spending vs. projected expending
- Create financial spreadsheets on Excel
- Input and pull financial data from QuickBooks Accounting Software
- Assist with other ad hoc accounting projects as assigned
- Perform other special projects and analyses as directed by management
Qualifications
- Bachelor’s degree in Accounting or Finance
- 5+ years of experience in accounting and/or bookkeeping
- Relevant experience: Quickbooks and MS Office Suite.
- Experience working in startups is a plus

- Terms of employment: Full-time, non-exempt
- Location: NYC or Remote; United States
